CLASS REGISTRATION PROCESS


Pre-registration:

 

Who is eligible to pre-register?  

A student that is currently enrolled in a class and has not taken the class more than 3 consecutive times is able to register for that same class during the pre-registration period.  It is important to pre-register if you wish to continue with the same class because the pre-register student has priority for getting into the class.  

For example: you are currently taking the Saturday morning Wheel class and you’ve taken the Wheel class 2 consecutive times, you are eligible to pre-register for the Wheel class this 3rd time.

 

What if I am currently in a class and want to take a different class?

If you want to sign up for a different class other than the one you are currently taking, you follow the Open Registration procedure as described below.

 

What if this is my 3rd consecutive time taking this class and I want to sign up for this same class?

You will follow the Open Registration procedure described below.  It should be noted that your name will be placed on the bottom of the waitlist to allow new students a chance to attend the class.  

 

How do I pre-register?

Fill out the class registration form completely, please be sure your writing is legible.  Attach a payment check for the class onto the registration form and place in the metal lock box that is located on the shelf where the clay is distributed.  The amount on your check should be for the class fee only.  If your form is incomplete or there is no payment attached, the registration form will be set aside.

 

What happens the end date of pre-registration?  

The registrars will pick up all the pre-registration forms from the lock box and process the pre-registration students.  We apologize in advance for the ‘no exceptions’ to this deadline policy.  It is your responsibility to get your filled-out pre-registration form and payment into the lock box before the end date.  Any pre-registration form retrieved from the lock after this deadline will be included with the open registration group as outlined below.

How do I register?

Fill out the class registration form completely, be sure your writing is legible. Attach a payment check for the class onto the registration form and place in the metal lock box that is located on the shelf where the clay is distributed. The amount on your check should be for the class fee only. If your form is incomplete or there is no payment attached, the registration form will be set aside.

 

How do I order clay and/or tools?

Clay ordering is to be done using the clay order form (which is a separate form). Fill out the clay order form and attach another check on the form, staple these 2 items together and then staple with the Registration form and drop in the metal lock box.

 

The completed Registration packet will consist of the following 4 items stapled together:
1. Registration form
2. Payment check for class only, attached to item #1
3. Clay order form
4. Payment check for clay (and tools, if ordering tools) only, attach to item #3

What happens at end date of open registration?  

The registrars will pick up all the open registration forms from the lock box and start the filling the open slots for each of the classes.  We apologize in advance for the ‘no exceptions’ to this deadline policy.  It is your responsibility to get your filled-out registration form and payment into the lock box before end date of open registration.  We will not accept any registration forms after this deadline.

 

What happens if there are more people wanting to take a class than available slots?

For example: There are 10 people wanting to get into a class and there are only 8 available slots.

Answer: We will draw names for the 8 available slots.  We have utilized the random name drawing system in the past and will continue to use this system.  The drawing of names for all the classes will occur on the date noted below at Hawaii Potters’ Guild, the time of the name drawing will be specified in the weekly email update.  Please note that you need not be present for the name drawing.  

 

The names of each classes’ students will be posted at Hawaii Potters’ Guild on the date noted below.  The Registrars will not send out an email notice; please do not email the Registrars, we will direct you to check the listing at Hawaii Potters’ Guild.

 

If your name does not get drawn for a class, we will put your name on the wait list in the order that your name was drawn during the drawing.  If you are on the wait list and nobody drops out of the class and you don’t get into the class, we will shred your check.  We will not return checks.
